Plain-Language Summary: SwimSheet is a local-only app. Your data never leaves your device unless you choose to export it. We do not operate a server, collect analytics, show advertisements, or transmit any information you enter. Everything you type stays on your device, encrypted at rest. Because you may record contact details for swimmers and their guardians, please read Section 4 for the full list of what the app can store.

This is the privacy policy for the SwimSheet mobile app, published by Uphill Digital LLC. The swimsheet.app website has a separate privacy policy covering email signups and visit counts on the website itself.

1. Who We Are

SwimSheet is a product of Uphill Digital LLC. We are the developer and publisher of this application and the author of this Privacy Policy. In this document, "we," "us," and "our" mean Uphill Digital LLC. "You" means the individual who has installed and is using the app.

2. Who Uses the App, and Who Controls the Data

SwimSheet is intended for use by swim coaches, team administrators, and meet directors who manage competitive swimming programs. You are the data controller for any information you enter. You decide what you record, how long you keep it, and with whom — if anyone — you share it. Uphill Digital LLC has no access to, and does not process or control, any data you enter into the app.

3. Where Your Data Lives

All data you enter is stored exclusively on your device in an encrypted local database. There is no SwimSheet server, cloud account, or remote storage of any kind. Data does not leave your device automatically. The only time your data leaves your device is when you deliberately choose to export or share it using the app's export features.

4. Information Stored in the App

Depending on how you use the app, the local database may contain:

• Team and season names, team codes, and administrative notes
• Swimmer first and last names, dates of birth, gender, graduation year, and grade
• Swimmer phone numbers and email addresses, where you choose to record them
• Guardian or parent names, phone numbers, and email addresses, where you choose to record them
• Swimmer registration or membership numbers, including USA Swimming identifiers
• Free-text notes you write about a swimmer
• Meet and time trial names, dates, locations, pool configuration, and session structure
• Events, entries, seed times, and performance results, whether typed in or imported
• Relay leg assignments and squad composition
• Disqualification codes and any notes recorded alongside them
• Names, team codes, and coach contact details for opposing teams you register or import for a meet
• Swimmer names and ages belonging to those opposing teams

This information is stored only on your device and is accessible only through the app.

5. What We Do NOT Do

We do not collect, transmit, or receive any data you enter into the app. Specifically:

• We do not operate analytics, crash-reporting, or telemetry services that send data off your device
• We do not display advertisements
• We do not sell, share, or license your data to any third party
• We do not have a user account system or authentication server
• We do not receive backup copies of your database
• We do not have the ability to recover your data if your device is lost or damaged

6. Permissions

SwimSheet requests only the device permissions necessary for its core functions. The local database lives in the app's own private storage and requires no permission at all. When you export a file or choose a file to import, the app uses your device's built-in file picker, which grants access to that one file for that one action and nothing more. The app does not request access to your camera, microphone, contacts, location, or calendar, and does not request network access for the purpose of transmitting your data.

7. Data You Export

The app provides features to export your data — for example, as spreadsheet files or backup archives — so you can share it with other coaches or archive it for your own records. When you choose to export and share a file, that file is handled by the operating system's sharing mechanism and may be transmitted by other apps such as email or messaging apps, in accordance with their own privacy policies. We have no visibility into or control over how exported files are handled after they leave the app.

8. Children's Data

The app is intended to be used by coaches and administrators, not by children. You may choose to enter information about minor athletes as part of managing your team. You are solely responsible for ensuring that you have the appropriate authority or consent required by applicable law — including COPPA in the United States and equivalent laws elsewhere — to record and store information about minor athletes. We recommend storing only the minimum information necessary for meet management purposes.

9. Retention and Deletion

Your data is retained on your device for as long as you keep the app installed and do not delete it. A swimmer's personal information can be erased at any time using the option described in Section 11. This clears the swimmer's date of birth, phone number, email address, and registration numbers, including USA Swimming identifiers; the names, phone numbers, and email addresses recorded for their guardians; and any notes written about the swimmer. The swimmer's name, gender, graduation year, and race results remain, because they form the competition record. The erasure is permanent and cannot be undone.

Erasing a swimmer's details changes only the data inside the app. It does not reach any file you exported or any backup made before the erasure. Restoring such a backup brings the erased details back. Deleting or not restoring those copies is your responsibility, not Uphill Digital LLC's.

Uninstalling the app from your device will remove the local database and all data it contains. Uphill Digital LLC holds no copy of your data and cannot restore it after deletion or uninstallation.

10. Data Security

The local database is encrypted using industry-standard AES-256 encryption via SQLCipher. This means the data on your device is protected by strong encryption at rest. We recommend also enabling the device-level screen lock, passcode, or biometric authentication provided by your operating system as an additional layer of protection against unauthorized physical access to your device.

11. Your Choices

Because all data is stored locally on your device, you have full control over it. You can:

• Edit the information you have entered
• Erase a swimmer's personal details at any time, including when someone asks you to. This clears their date of birth, phone, email, registration numbers, guardian names and contact details, and notes. The swimmer's name, gender, graduation year, and race results always stay, because they form the competition record. A swimmer can never be deleted. This option is offered when you remove a swimmer from a roster, and it is permanent and cannot be undone.
• Export your data at any time using the app's export features
• Uninstall the app to permanently and irreversibly delete all data

If someone whose information you have recorded asks you to delete it, the erase option above is the tool for that request. It does not reach copies outside the app, as explained in Section 9. Because Uphill Digital LLC does not hold a copy of your data, we cannot fulfill data access or deletion requests on your behalf — you hold the only copy.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will increment the version number and update the effective date shown at the top of this document. The current version is always posted at swimsheet.app/app-privacy.html, and the updated policy is also included in the next app update. Your continued use of the app after an updated policy is available constitutes your acceptance of the updated terms. If you do not agree with a revised policy, you should stop using the app and uninstall it.

13. Governing Law

This Privacy Policy is governed by the laws of the State of New Jersey, United States, without regard to its conflict-of-law provisions. Any disputes arising from or relating to this policy shall be resolved in the courts of New Jersey.
